Sport and Physical Activity Workforce Observatory Data Deposit Licence Agreement

Between:

The Depositor (“You”)

and

CIMSPA Sport and Physical Activity Workforce Observatory (“The Observatory”)

1. Grant of licence

By depositing your dataset, you grant the Observatory a non-exclusive, royalty-free, worldwide licence to:

  • store, curate, and preserve the dataset
  • publish descriptive metadata openly
  • make the dataset available to authorised users under agreed access conditions
  • create necessary technical or format adaptations for preservation and interoperability
  • maintain versioning and provenance records.


You retain all intellectual property rights to the data.

This License should be read in conjunction with:

2. Depositor’s warranties

You confirm that:

  • you have the legal authority and rights to deposit the dataset
  • the dataset does not infringe any third-party intellectual property rights
  • all personal data have been handled in accordance with data protection legislation
  • international depositors have complied with all relevant non-UK laws
  • the dataset is accurate and properly documented
  • any ethical approvals required for data collection have been obtained.

3. Access and use conditions

The Observatory will apply access controls in accordance with your selected licence:

  • Open licence
  • Safeguarded licence (registered user access, no redistribution)
  • Controlled licence (approved projects only, secure environment)


Metadata describing your dataset will be made openly available unless anonymity is requested for commercial or privacy reasons.

4. Liability

The Observatory is not liable for any loss or misuse of data beyond its control, provided all reasonable security and governance measures are maintained.

Depositors are responsible for:

  • ensuring legal compliance
  • any legal claims arising from their data
  • ensuring confidentiality and anonymisation.

5. Preservation and withdrawal

The Observatory may:

  • convert or migrate data for long-term preservation
  • withdraw or restrict access to data if legal, ethical, or quality concerns arise.


Depositors may:

  • request dataset withdrawal with 30 working days’ notice
  • submit updated or revised version of datasets (these follow the streamlined update workflow).


Upon withdrawal:

  • public access will cease
  • metadata may remain openly visible to preserve citation integrity
  • a preservation copy may be retained if required for audit or research integrity.

6. Governing law

This Agreement shall be governed by and construed in accordance with the laws of England and Wales, and subject to the jurisdiction of its courts. International depositors remain responsible for compliance with their local laws.

7. Acknowledgement

The Observatory will acknowledge the data provider in the public record for the dataset unless the depositor requests anonymity for ethical or commercial reasons.

By submitting data, you agree to this Licence Agreement, Data Deposit Policy and compliance with the Observatory’s Data Governance and SAFE Frameworks.
